Next, identify whether the reservation is an arrival pickup or a departure. For arrivals, provide the flight number, date, bags and passenger contact, plus the full onward destination. For departures, provide the airline or flight team's required report time and the pickup property. The time a car leaves a hotel and the time a passenger reaches the airport are separate points in the schedule.

If several flights form one group arrival, decide who travels together before choosing the vehicle. Include terminal or private facility instructions when known, and confirm an inside greeting separately from curbside collection.
